Prumo is an example, designed for a small renovation company. Every company is different, even within the same trade, and the system is designed around each one's jobs, team and rules.
The problem
You only find out whether a job made money when it ends.
Material invoices pile up in the van or in a box, the team's hours live in a notebook and each job's margin only shows up at the end, when nothing can be done about it.
Meanwhile cement goes up, materials get swapped three times, one client calls to ask how the job is going and someone has to call another client to chase an invoice a month overdue.
What it does
Every cost lands on the right job on the day it happens.
Take a photo of the invoice
The system reads the supplier, date, amounts with and without VAT and the product lines, and suggests which job it belongs to. A person confirms or picks another. Nothing is assigned blindly.
The margin updates instantly
Budget, spend to date split into materials, labour and subcontractors, expected margin and job progress, always current.
Team hours in 30 seconds
At the end of the day, the site manager taps which job each person worked on. Labour goes straight into each job's cost.
Warnings arrive before the loss
When a job's margin starts to drop or a material goes up at the supplier, you get an alert while there is still time to act.
The client knows how the job is going
Photos of the day and a summary written by the system, emailed in the company's name. Nothing goes out without your approval.
Collect without calling anyone
Polite reminders at 15, 30 and 45 days, by SMS or email, in the company's name and always approved before they are sent.
